This addendum supplements the College Privacy Policy and does not replace or amend it.
Moreton Bay College maintains a database of alumnae, former staff, past parents and friends of the College so that we can stay in touch with our community and keep you informed about news, events, careers initiatives, reunions and fundraising activities.
The way the College collects, uses, stores and manages personal information is set out in the College Privacy Policy, available at https://mbc.qld.edu.au/privacy-policy/. That policy applies in full to the Alumnae Online Community.
This addendum sits alongside the College Privacy Policy and explains the additional detail that applies when you use the Alumnae Online Community website - https://oga.mbc.qld.edu.au/. It covers the information the platform itself collects, how the platform stores it and the settings available to you as a registered member. Where this addendum and the College Privacy Policy differ in wording, the College Privacy Policy prevails.
Some members of our alumnae database choose to join the online community by registering on this website and creating a profile. Others remain in our records without an online profile. We collect and hold personal information in both cases. This addendum applies to everyone in the alumnae database, with the sections on profile settings applying only to registered members.
We may update this addendum from time to time. If we make a significant change, we will advertise it on the website or contact you directly. Please check this page occasionally so that you remain comfortable with how your information is handled.
The information we hold about you depends on where we collected it. It may include:
The Alumnae Online Community is not intended for the collection of sensitive information as that term is defined in the Privacy Act 1988 (Cth). Please do not enter health information, information about your racial or ethnic origin, religious or political views, sexual orientation or similar details into your profile or into content you post. If sensitive information is provided to us through the platform, we will handle it in accordance with the College Privacy Policy.
We collect personal information about you when you:
We may also receive information about you from other members of the College community, for example when a classmate provides updated contact details for you. Where we do so we will handle that information in accordance with the College Privacy Policy.
We will use your personal information for a secondary purpose only where that purpose is related to the primary purpose and would be reasonably expected by you, where you have consented, or where the use is otherwise required or permitted by law.
We do not sell or rent your information.
If you have a profile on this website you can review and update your preferences by logging in and opening My Settings, then scrolling to Consent options. Each type of communication can be set to opt in, opt out or unspecified.
My Settings also allows you to hide your profile from search engines, limit your profile so that it is visible only to your connections, and adjust the automatic notifications you receive from the site. Please note that your name, though not your full profile, may still appear in some areas of the community website such as a recent joiners panel or in search results, regardless of the privacy settings you have chosen.
You can unsubscribe from marketing and fundraising emails at any time by using the unsubscribe link at the foot of any email we send, by updating your consent options, or by contacting us using the details below. Consistent with the Spam Act 2003 (Cth) and the College Privacy Policy, we may continue to send communications that are necessary for operational, legal, safety or administrative reasons where an existing relationship with the College exists.
If you ask us to stop contacting you altogether, we will keep a record of your name and the limited information needed to give effect to that request.
The College takes reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure, as described in the College Privacy Policy and the College's Information Governance Policy.
Information held in the Alumnae Online Community is stored in Australia, on a server hosted by Amazon Web Services and managed by our platform provider, ToucanTech. The College's records are held in a database that is kept separate from those of other ToucanTech customers. Your information is encrypted both in transit and while stored.
Daily full backups are retained within Australia. A monthly backup copy is held on Google Cloud Platform for disaster recovery purposes.
The platform is protected by role-based access controls with multi factor authentication and least privilege permissions, hardened server configurations, logging and monitoring, regular vulnerability management and independent security testing. Access is limited to authorised College employees and contractors who need it for their role and who are trained in the appropriate handling of personal information.
Your information is stored in Australia. Authorised ToucanTech personnel and approved sub-processors located overseas may access it from time to time in order to provide technical support and maintain the platform. That access is granted only for the period required, is subject to approval and is recorded and audited.
Where this occurs, contractual arrangements are in place requiring the recipient to handle your information consistently with the security, confidentiality and onward transfer obligations that apply to ToucanTech, and in a manner consistent with the Australian Privacy Principles. ToucanTech maintains a register of its sub-processors, which includes Amazon Web Services and Google Cloud, and gives advance notice of material changes to it.
If you hold a profile on this website you are responsible for keeping your log-in details confidential. Please do not share your password.
No transmission of information over the internet can be guaranteed to be completely secure. While we take reasonable steps to safeguard your information, we cannot guarantee the security of information you provide online, and you do so at your own risk.
If a data breach occurs that is likely to result in serious harm, the College will respond in accordance with its Data Breach Action Plan and the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).
We may share your information with:
Other than as described above and in the College Privacy Policy, we will not share your information with other organisations without your consent.
Please let us know when your contact details change. Registered members can update their own details by logging in and opening My Settings. You can also update your details by contacting us using the details below.
We hold personal information for as long as it is needed for the purposes described above, and in accordance with the College's records retention arrangements.
Where we rely on your consent to contact you for marketing or fundraising purposes we treat that consent as lasting only for as long as it is reasonable to do so, and we may ask you periodically to confirm your preferences.
If you ask us to remove your personal information from the alumnae database, we will delete the information we hold, other than your name and the years you attended the College, and archive the remaining record. We retain that minimum information so that we can honour your request and maintain the accuracy of the College's historical records.
Under the Privacy Act 1988 (Cth) you have the right to request access to the personal information the College holds about you, and to ask us to correct information that is inaccurate or out of date. Requests should be made in writing to the contact below. Access may be limited in the circumstances described in the College Privacy Policy, and a fee may apply where a request is extensive. If we are unable to provide access, we will give you written reasons.
If you believe the College has not handled your personal information in accordance with this addendum, the College Privacy Policy or the Australian Privacy Principles, please contact us in the first instance. Complaints are managed under the College's Complaints Handling Policy.
If you are not satisfied with our response you may make a complaint to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
